Parking: Please inform your team and parents that all parking

to pay for “parking patrol”.

17th. Please submit a list of your
seniors in advance, so that they may be included in our meet program, along
with a complete roster for your team.
Although we ask for a roster, actual entries need not be declared until
race time.
Meet
info: Coaches should pick up a meet entry packet when they arrive and be
familiar with the meet-related details provided on the back side of this
form. Note that all meet paperwork
and a course map can also be accessed at
http://www.ahsdistance.org/academymeet.

Additional Meet-related Details
Course
Map: a course map is included with
this packet. Please distribute this map
to your assistant coaches, parents and athletes. Additional maps are available at www.ahsdistance.org/academymeet.
The course itself will be lined with a number of small orange flags placed
throughout the park. At specific points
(indicated on the map) orange cones will be used to indicate turns or bends in
the course. A minimal amount of white
striping paint will also be used to mark the course.
Parking: please note that our continued use of Seneca Park
depends on the cooperation of everyone involved. There will be a police officer present during the meet whom we
will direct to ticket any and all vehicles in violation of the parking
rules. If given a choice between the
prospect of losing Seneca Park as a place where we can run this meet because we
didn’t enforce parking regulations and keeping local residents and Metro Parks
happy because we did enforce the rules, please understand that we will choose
the latter without hesitation.
1. All athletes and
parents are strongly encouraged to consider parking on the north side of the
park.
2. No parking zones in
the residential areas are clearly marked and will be strictly enforced.
3. No parking will be
allowed on any grass surrounding the park.
Cars parked on the grass will be ticketed and/or towed at the request of
meet management.
4. A course map is
included with this file that shows (in lime green) where cars may be parked
during the meet. We expect to limit
access to the residential area parking, but will attempt to work out some type
of parking arrangement with Rock Creek and the Christian Academy School. Please note that as of the printing of this
entry form, however, no such arrangement has yet been made.
Meet
administration: coaches are asked
to please familiarize themselves with the following:
1. Coaches must submit
the names of each athlete in advance.
All submitted athletes will be given a competitor number in order to
compete. Each athlete’s competitor
number should be recorded on the right hand of that athlete. Coaches may withhold runners from
competition who have a competitor number, but runner without a competitor
number will not be allowed to compete.
If a runner without a competitor number does compete, then that runner
will be disqualified upon finishing the race.
2. Declaration of race
entries will occur just prior to the start of each race.
3. Upon finishing the
race, each runner will receive a card that reports their finishing place
number. Coaches are asked to record the
runner’s name and school on that card and to then return those cards in one of the
two envelopes provided with the meet entry packet.
4. We will run the meet
rain or shine. If weather conditions
become hazardous (e.g. lightning occurs) prior to the start of any race, then
we will follow the hazardous weather guidelines of the NFHS and look first to
postpone competition until an appropriate time when the meet can be
resumed. If it is necessary to cancel
competition for that day, then refunds will be given for any races not held.
5. If weather conditions
become hazardous (e.g. lightning occurs) before the completion of any race,
then the race will be stopped and ruled “no contest” unless enough finishers
have completed the race to determine team standings (e.g. lightning occurs at a
point where only the 7th girl from one team is still on the course). Any stopped race will not be re-run.
6. The KHSAA Meet
Official present will be Barry Haworth.
Results: race results will be distributed over the KTCCCA email listserve and made available at the following websites: www.ktccca.org, www.kytrackxc.com, and www.ahsdistance.org/academymeet.
